WHAT YOU’LL BE DOING

We are seeking a meticulous and detail-oriented Payroll Administrator to join our team. The Payroll Administrator will be responsible for accurately processing payroll for employees, ensuring compliance with relevant regulations and laws, and maintaining payroll records.

The Payroll Administrator will have a direct impact on our Finance group, responsible for:

  • Process weekly, biweekly, and semi-monthly payroll for USA, Canada and Mexico associates accurately and on time.
  • Perform regular reviews/audits to confirm accurate employee records, including personal information, tax withholdings, direct deposit details, taxable benefits, and other relevant data.
  • Ensure accurate recording of employee hours worked, paid time off, and overtime.
  • Maintain and record PTO and wage accruals.
  •  Ensure accurate and timely setup and filing of federal, state and local payroll taxes.
  • Prepare and post payroll-related journal entries for month-end close.
  • Prepare and maintain certain balance sheet reconciliations related to payroll.
  • Address employee payroll inquiries and resolve issues promptly.
  • Create and maintain payroll policies and procedures. Update as needed to reflect changes in company policies and regulations.
  • Review and process employee reimbursements, ensuring that expense reports follow company policies.
  • Stay current with payroll laws and regulations to ensure compliance.
  • Accurately calculate and process year-end taxes on imputed income.
  • Review and distribute W-2s, 1099s, T4, and Form 37s to employees and contractors. Ensure compliance with year-end tax reporting requirements.
  • Assist with external audits related to payroll and tax matters, providing necessary documentation and explanations.
  • Create and publish the annual payroll processing schedules.
  • Prepare compensation and headcount actual, forecast and budget reports for distribution.
  • Calculate wages, overtime, and deductions, ensuring accuracy and compliance with company policies, regulations, and applicable law.
  • Manage payroll-related inquiries from employees, managers, HR, Finance, and other stakeholders.
  • Maintain accurate payroll records and documentation.
  • Prepare payroll reports for management as needed.
  • Ensure compliance with federal, state, and local payroll regulations and tax requirements.
  • Stay up-to-date with changes in payroll regulations and implement necessary updates.
  • Assist with payroll-related projects and initiatives as assigned.
  • Perform other duties as assigned. 

Qualifications and Requirements

  •       Bachelor's degree in Accounting, Finance, Human Resources, or related field preferred.
  •       At least 3-5 years of payroll or related experience.
  •        Proven experience as a payroll administrator or similar role.
  •       Strong understanding of payroll principles, regulations, and best practices.
  •       Strong communication skills and ability to collaborate effectively with cross-functional teams.
  •       Proficiency in payroll software and Microsoft Office Suite, especially Excel.
  •       Excellent attention to detail and accuracy.
  •        Strong organizational and time management skills.
  •       Ability to handle confidential information with discretion.
  •        Excellent communication and interpersonal skills.
  •       Ability to work independently and as part of a team.
  •        Strong communication skills and ability to collaborate effectively with cross-functional teams.
  •       Familiarity with international payroll processing specifically in USA, Canada and Mexico.
  •       The ability to understand and apply accounting principles and financial concepts, including Generally Accepted Accounting Principles (GAAP) and tax regulations.

Preferred Qualifications:

  •       Certification in payroll administration (e.g., Certified Payroll Professional - CPP).
  •       Experience with ADP, Kronos, eTime, GlobalView, Concur.
  •        Familiarity with multi-state payroll processing.
  •        Experience working in a fast-paced environment.
